The Challenge
A New Zealand community organisation running donations, events, and member communications across four separate SaaS tools with no shared member database — meaning the same person could exist differently in each system, and no one had a complete picture of engagement.
The problem we were asked to solve
Difficulty managing events, donations, and member communication across disconnected tools — every function needed its own SaaS subscription, and none of them shared data. The same member existed in three separate systems. Donation receipts were issued manually. Event attendance wasn't linked to member records. Communications went out without knowing who had already donated or attended.
Our Approach
How we tackled it
Mapped the organisation's key programmes and the tech stack supporting each — identifying where member data lived, how it moved (or didn't) between tools, and where it got lost entirely.
Designed a unified member data model — one record per member, with donation history, event attendance, and communication preferences consolidated in one place for the first time.
Scoped an automated donation flow with instant tax receipting — eliminating the manual process of issuing receipts individually after each donation, which was taking hours per month.
Designed the event management module around the organisation's actual event types — public community events, member-only programmes, and volunteer coordination — rather than a generic event tool.
